Team Tracker: the complete employee user guide

Everything an employee needs to use Team Tracker with confidence — from install to check-out, and a clear answer to "what does it actually record?"

PPriya Nair··6 min read

Team Tracker is the BusinessHRM desktop app that records your work time and syncs it to your company’s workspace. This guide walks through everything you need as an employee: how to install it, how a normal day works, and, just as importantly, what it does and does not capture. If you prefer a printable copy, you can download the full Employee User Guide (PDF) at the end.

Installing and signing in

  1. Download the app from the download page. The button always gives you the latest version, and the installer runs for your user account only, no administrator prompt.
  2. Run the installer. It finishes in a few seconds and opens Team Tracker.
  3. Sign in with your BusinessHRM account, the same email and password you use for the web app.

If your company uses more than one workspace, you will be asked to pick one after signing in. This is the switch-profile step: choose the company you are working for, and your time is recorded against that workspace.

A normal working day

Check in when you start work. The app records the moment you check in, along with your device name, so your hours can be traced to the machine you worked on. From that point, Team Tracker tracks your working time until you check out.

Pick your project and task. Team Tracker attributes time to the task you are working on, so your hours land against the right project for billing and payroll. Choose the task before you start, and switch tasks whenever your work changes.

Take breaks properly. When you step away, start a break of the right type (for example a lunch or short break). Break time is kept separate from working time, so nobody is billed for time they were not at their desk. End the break when you return.

Check out at the end of your day. Your totals (worked time, active time, breaks) are finalised and available in your BusinessHRM dashboard.

What Team Tracker records

Team Tracker is built to be fair and transparent. Here is exactly what it captures during tracked time:

  • Work time, active versus idle, so timesheets fill themselves in.
  • Apps and websites used during tracked time, for clear activity reports.
  • Activity level, measured as counts of clicks and keystrokes. The content of what you type is never recorded.
  • Optional screenshots, only if your team has them enabled. They can be blurred and captured on a set interval, and the whole feature can be turned off.
  • Project and task time, so tracked time is attributed correctly.

Idle time is handled fairly

If you step away without starting a break, that time shows up as idle. Idle time is visible and can be discarded rather than quietly counted as work. The point is accurate hours, not inflated ones.

Your timezone, your clock

All the times you see, check-ins, breaks and activity, are shown in your organization’s timezone and date/time format, set by your company in App Settings. So a check-in always reads as your real local wall-clock time, no matter where the data is stored.

For the complete walkthrough, use whichever format suits you:

Frequently asked questions

Can I see what is captured?

Do I need admin rights to install it?

No. The installer is per-user and does not trigger a Windows admin prompt.

Which systems are supported?

Windows 10 and 11 (64-bit). On other devices, use the BusinessHRM web app in any browser.
